The Communications and Development Manager manages and ensures the planning and effective delivery of the day-to-day communications, fundraising, community relations activities, and marketing activities that support Arts Network’s strategic priorities and as otherwise set out in the annual work plan.

The Manager oversees relationships with current and potential sponsors, donors, members, volunteers and business and philanthropic community partners with support from other staff and the Board of Directors. The Manager implements and manages a range of activities including the development of sponsorship and donor campaigns, donor stewardship programs, fundraising and membership events, volunteer recruitment and business community relations outreach.

The Manager ensures the effective delivery of marketing and public relations outreach to audiences as identified by the communications plan, strategic priorities, and as set out in the workplan.

Key responsibilities:

  • Prepare annual fundraising plans for Arts Network Ottawa and ARTicipate Endowment Fund
  • Prepare annual communication plans and strategies for Arts Network Ottawa and ARTicipate Endowment Fund
  • Relationship management with stakeholders in the community
  • Collaborating with the staff and board team on Membership, campaign and stewardship
  • Manages media relations as required

Activities and Deliverables:

Fund Development:

30% of time  

*Fundraising and Stewardship relate to both Arts Network Ottawa and the ARTicipate Endowment Fund (unless specified)

  • Develop and execute the Annual Fundraising Plan
  • Prepare Cases for Support for annual giving and special programs
  • Lead fundraising and/or stewardships events, identify and coordinate third party fundraising events
  • Provides ongoing tracking and reporting to the Executive Director and Board as required


  • Canvass for and negotiate sponsorships, including both renewals and new sponsors. Maintain and expand a current sponsorship database – both cash and in-kind
  • Create sponsorship and stewardship packages
  • Ensure that policies and procedures are in place for ongoing solicitations
  • Prepare, process and track sponsorship agreements. Ensure agreements are fulfilled.


  • Develop appropriate cultivation and recognition strategies for major and annual donors and prospects
  • Identifies potential donors for major gifts ($2,500 and over) and planned gifts
  • Prepares proposals for foundations and corporations
  • Create and distribute donor recognition and oversee issuing of receipts as necessary

Grant and Proposal Writing

  • Prepares and/or participates in the preparation of funding proposals and progress report(s) as required
  • Monitor progress and compliance with funding providers ensuring that all reporting requirements are adhered to
  • Liaise with funders as required
  • Research and identify opportunities for diversified revenue generation from foundations, private funders, etc.

Communications and Marketing:

25% of time

  • Develop and implement annual and three-year communications and marketing plans

Operational materials:

  • Develop and maintain style guides
  • Provide creative direction
  • Prepare the Annual Report(s)
  • Manage the production of marketing materials

Programs and Fundraising marketing:

  • Produce collateral
  • Develop project specific marketing action plans

Online presence:

  • Optimize website content and maintain online assets
  • Manage social media channels

Media relations:

  • Create and distribute press materials
  • Coordinate press conferences; act as first point of contact for media inquiries; coordinate media interviews in both French and English


  • Monitor results of communications activities and makes recommendations for future


  • Collaborate with the Program Manager to develop and implement membership development strategy
  • Supports the preparation of membership materials such as brochures, letters, email communications, invoices, renewal reminders and receipts
  • Responds to the inquiries and needs of the membership and supports membership fulfillment


15 % of time

  • Manage the fundraising and marketing budget and report on monthly basis
  • Ensures accuracy of financial records for all donations and sponsorships
  • Ensures that the database of donors and other stakeholders is current
  • Contributes to the identification of ways to design and improve database, CRM and mailing lists for all stakeholders
  • Ensures proper systems for invoices and charitable receipts
  • Contributes as required to completing grant applications, government forms and charity returns
  • Manages records management system for fundraising, marketing and archives

Human Resources Management:

15 % of time

(Coordinator, summer students, interns, co-op students, volunteers)

  • Ensures that all human resources are welcomed, that meaningful opportunities are provided, and the orientation process is completed
  • Maintain compliance with Arts Network policies, and Ontario ESA
  • Supervises the fulltime Marketing and Development Coordinator position
  • Supervises summer students, interns, co-op students, office and event volunteers that are working on relevant activities:
    1. When required, completes application, supervises and completes evaluations/final reports for interns and summer students
    2. Liaise with college and university faculty and departments to ensure sources of student interns
  • Help to recruit volunteers for committees and activities through volunteer organizations, business community, community groups, arts sector, colleges and universities
  • Provides position descriptions for volunteer tasks/roles if required
  • Ensures volunteer database is up-to-date

Planning and Research:

10 % of time

  • As part of the Arts Network management team, participates in strategic planning and direction for the organization
  • Member of board committees, including Development and Equity, Diversity and Inclusion Committees
  • Knowledgeable about the membership and the arts community in general
  • Attends relevant networking opportunities as required and within budget

Other Related Duties:

5 % of time

  • As required, respond to inquiries from the general public
  • Participates in partner activities at the Shenkman Arts Centre
  • Other duties as assigned by the Executive Director


Education / Experience Requirements:

  • University Degree or College Diploma, or equivalent work experience in relationship management (fundraising, sales, communications, membership services); marketing, social media and strategic planning; and in a management role

Knowledge, Skills and Abilities

  • Communication skills in both English and French (oral and written)
  • Ability to use and proficiency in Microsoft Office Suite, and Adobe Creative Suite
  • Demonstrated ability in relationship building and fostering partnerships
  • Demonstrated ability to plan and organize communications campaigns
  • Demonstrated ability to write engaging and persuasive content
  • Demonstrated ability to secure sponsorships and/or donations
  • Experience stewarding membership and/or donor programs
  • People skills and the ability to work with staff, volunteers, press, donors, and Arts Network members
  • Experience in public relations delivery and working with the media
  • Ability to prioritize and execute multiple tasks to timely and effective completion
  • Teamwork and relationship building skills
  • Proficiency in writing on-line for websites and blogs, newsletters, media releases and brochures
  • Ability to conduct surveys and provide analysis
  • Proficient with social media and knowing your audience
  • Organizational skills
  • Ability to adhere to deadlines and budgets


Salary range: $47,000–$53,000 depending on experience
